Privacy Policy

This Privacy Notice explains what to expect when we collect and process your personal information under the Data Protection Act 1998, the General Data Protection Regulation (EU) 2016/679 ('the GDPR'). 

HOW WE COLLECT PERSONAL INFORMATION, AND WHAT PERSONAL INFORMATION WE COLLECT 

We collect your personal information directly from you when you send an inquiry to us via the contact page on our website or by telephone, or when you return your completed process agency agreement which may consist of personal identifiers such as your title, your name, and your contact details including your email and postal addresses and your telephone number, and we will keep records of your contact details with us. We will not collect any Sensitive Personal Data from you. 

WHY WE COLLECT YOUR PERSONAL INFORMATION 

We collect this information solely to perform our contract with you as your process agent, i.e. to receive service on your behalf in connection with the agreement you specified and for us to notify you of any service so received and to arrange with you the details and costs of forwarding this to you. Whilst our contract with you is active, we may also send you a seasonal greeting card, but we will not contact you for any marketing purposes. 

WHO WE MAY SHARE YOUR PERSONAL INFORMATION WITH 

We may share your personal information with the counterparty and/or any other parties listed on the process agency agreement you signed with us. We will not share your data with any third parties unless this is required in connection with tax or law enforcement investigations, or suspected money laundering activities and we are by law obliged to do so. 

HOW LONG WE KEEP YOUR DATA 

We will keep your personal information for the duration of the contract and thereafter for 6 (six) years, or as long as it is required. 

YOUR INFORMATION RIGHTS 

You have the right to be informed of any personal information we hold about you, the right to access this information, the right to have any incorrect data rectified or amended, the right to be forgotten, the right to restrict processing, the right to data portability, and the right to object. We do not make any decisions based on automatic processes. You have the right at any time to request in writing copies and information on any personal data we hold, and you may at any time request us to correct or update your personal information.

CHANGES TO THIS PRIVACY NOTICE 

We will review this notice regularly. In the event of changes in the law or how we operate, we will provide notice directly by email.
